The Research Grant Specialist I will work with the Principal Investigator (PI), research coordinators and other research staff, to complete and submit federal, industry, and non-federal clinical trial and basic science grant applications. The incumbent serves as the liaison between department or research groups and Office of Research Administration, Purchasing, Research Billing, and Finance departments.

This role generally performs all pre- and post-award administrative functions including, but not limited to, ensuring internal documents are prepared and routed for signature and processing, monitoring grant accounts, tracking all expenses, providing grant and financial reconciliation, and research-related financial reporting. Ensures compliance with all federal, state and local agencies including National Institute of Health (NIH), Department of Defense (DOD), Food and Drug Administration (FDA) and the Institutional Review Board. This position will report to the Research Program Administrator for day-to-day supervision of work. This is a hybrid position.

Primary Job Duties and Responsibilities:

  • Monitors Time & Effort for accurate reporting and performs necessary funding corrections via direct cost transfer requests (DCTRs).
  • Finds opportunities for research funding opportunities.
  • May negotiate budgets for clinical trials.
  • May assist with research participant billing.
  • Maintains research practices using Good Clinical Practice (GCP) guidelines.
  • Maintains strict patient confidentiality according to HIPAA regulations and applicable law.
  • Participates in required training and education programs.
  • Works with principal investigator to complete and prepare for submittal of federal, non-federal, and foundation grants.
  • Assists with budget development and entry of financial information into federal systems.
  • Assists in the development of financial projections for project account management.
  • Assists in the development and submission of progress reports.
  • May assist in the preparation and submission of documentation required for research compliance.
  • Assists the Research Program Administrator and leadership on other activities as assigned.

Department-Specific Duties:

  • Reviews research protocols to assess resource needs, procedures, clinical research staff time, investigator time, and costs from ancillary departments.
  • Determines cost allocation, negotiates budgets, details budgets, and is responsible for monitoring and invoicing.
  • Processes Ancillary Agreements with departments providing research services.
  • Monitors study accounts to ensure expenses are appropriate and within expected limits, reconciles accounts receivable and payments, and resolves any deficits and/or surpluses.
  • Negotiates with sponsors the final payment due for account closeout. Conducts quality reviews and/or audits of clinical trial budgets.
  • Serves as a point of contact for fiscal-related questions and engages management as appropriate.
  • Meets monthly with research programs to review financial portfolios.

Qualifications

Education:

  • High School Diploma is required.
  • Bachelor's degree, preferred.

Experience and Skills:

  • One year minimum experience in administration of research grants.
  • Experience working with research groups, the Office of Research Administration, Finance, Purchasing, Academic Administration, highly preferred.
  • Excellent verbal/written communication skills and understanding Grants, Manuscripts and Abstracts guidelines.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and related applications required.
  • Demonstrated ability to create and use Excel spreadsheets for budget and data tracking strongly preferred.
